1. Legal Assistant - Floater

As a Legal Assistant – Floater with Pitblado Law, you will provide legal administrative and clerical support to lawyers in various practice areas. You will be assisting with overflow work, providing coverage during a Legal Assistant’s vacation/sick leave and for extended leaves of absence. In this position, you will have the advantage of working with the different lawyers, be exposed to various areas of law which is beneficial in getting to know the Firm and see where you will best fit in. If you have 2+ years’ experience in a law firm environment, have a strong work ethic, are self-motivated and eager to learn, we want to hear from you.

Key Responsibilities:

  • Draft, transcribe and revise correspondence and legal documents from instructions and precedents;
  • Proofread, edit, and format documents;
  • Maintain established filing system, manual or electronic;
  • Open and close files, conduct conflict searches, regular entry of lawyer timesheets and billing;
  • Liaise with staff, clients, outside agencies and the general public;
  • Maintain a high level of confidentiality and discretion at all times; and
  • Other duties, as required.


Skills and Qualifications:

  • Post-secondary education from a recognized Legal Administrative Assistant or Paralegal program;
  • Strong written and verbal communication skills;
  • Excellent proofreading skills (typographical, spelling, grammatical, word usage and formatting errors);
  • Strong organizational skills, the ability to prioritize work and meet deadlines;
  • Ability to multi task, display initiative and use sound judgment;
  • Ability to work well independently and follow instructions with little supervision;
  • Intermediate to advanced knowledge with MS Office; and
  • Ability to maintain confidential information and discretion.

2. Senior Legal Assistant

We are currently seeking an experienced Legal Assistant to support a Partner with a busy Commercial Real Estate practice.

Your responsibilities will include, but will not be limited to:

  • Preparing and completing all necessary documentation for commercial real estate purchase, sale and mortgage transactions from beginning to end;
  • Independently conducting various due diligence searches related to the transactions (Corporate, Central Property Search, Bankruptcy, Bank Act, Court of Queen’s Bench, Municipal Taxes, Sheriff’s Office, Companies Office, Property Registry Offices, City of Winnipeg work orders, etc.);
  • Preparing documents, including Mortgages, Caveats, Security Agreements, Assignments, Trustee and Beneficial Owner Agreements and all related documentation;
  • Analyzing and summarizing searches, identifying issues, and reporting to the lawyer;
  • Managing incoming and outgoing funds, requisitioning funds for closings, mortgage financings etc.;
  • Preparing, editing, formatting, proofreading, printing, and scanning correspondence, memoranda, large transaction documents, reports and copy typing;
  • Conducting conflict searches, opening and closing files, preparation, and finalization of time entry, file maintenance, preparation of statement of accounts and other general office duties;
  • Reviewing and routing incoming mail and fax communications; preparing and processing outgoing mail and faxes; and arranging for mail or messenger services;
  • Maintaining an organized electronic and physical filing system on a current basis;
  • Drafting correspondence and generating trust letters;
  • Other duties as required.



  • A post-secondary degree, diploma or certificate from a recognized Legal Administrative Assistant program;
  • Extensive experience (minimum of 8 years) closing commercial real estate transactions. Sound knowledge of residential real estate transactions is an asset;
  • Self-motivated with the ability to display initiative and work independently with minimal supervision; anticipates the next steps;
  • Strong time management, organizational and multi-tasking skills with the ability to work under pressure in order to meet client deadlines;
  • Capacity to efficiently perform duties with speed and accuracy;
  • Excellent verbal and written communication skills;
  • Analytical with a high degree of accuracy and attention to detail;
  • Sound judgment in high-pressure situations;
  • Strong computer skills and proficient in Microsoft Office Suite.

3. Corporate Services Paralegal

We are currently seeking a Corporate Services Paralegal to join our team. Reporting to the Partner in Charge of the Corporate Services Department, the Corporate Services Paralegal is primarily responsible for preparing legal documents, arranging for required government filings, maintaining records minute books, files and corporate database. The Corporate Services Paralegal assists lawyers with a wide variety of tasks related to the preparation and drafting a wide range of legal documents and will work on multiple transactions and matters simultaneously. The Corporate Services Paralegal must have a strong working knowledge of related federal and provincial laws.

Responsibilities will include but are not limited to the following:

  • Preparing and drafting corporate documents including:
    • incorporations, including for profit, non-profit and professional corporations
    • amalgamations
    • articles of amendment
    • extra-provincial registrations
    • re-organizations
    • dissolutions
    • revivals
    • continuances
    • registrations of partnerships and limited partnerships, including all change forms
    • documents for share transfers, sales, purchases, transmission of shares and redemptions
    • preparing documents for changes to corporate structure
    • section 85 and section 86 transactions
    • reporting letters
  • Organizing  and updating minute books following various transactions;
  • Reviewing minute books, identifying and correcting any deficiencies ensuring key details are entered into the corporate database. Scanning articles and by-laws from the minute books and entering information into the database;
  • Arranging for required government filings such as articles, notices of change, annual returns, limited partnership and business name registrations;
  • Preparing necessary documentation for the declaration of dividends and bonuses;
  • Assisting with document revisions, as required;
  • Liaising with lawyers, clients and external contacts in a professional manner;
  • Providing the supervising lawyer(s) with the support and assistance needed to complete client transactions;
  • Opening and closing files;
  • Organizing and maintaining files on a current basis;
  • Drafting a variety of legal documents, letters, memorandums, emails;
  • Preparing client billings in accordance with Firm standards and policies;
  • Supervising and assisting the corporate clerks in the Corporate Department;
  • Maintaining up-to-date knowledge of the process and procedures of Corporations Branch, Corporations Canada and ESC Corporate Services;
  • Maintaining up-to-date knowledge of current relevant legislation, as required;
  • Performing other related duties as may be assigned from time to time and any other duties as assigned;

Employment Requirements:

  • Paralegal or Legal Assistant certificate or diploma from a recognized institution.
  • 3-5 years of working experience.
  • Working knowledge of provincial and federal laws and terminology.
  • Experience with drafting legal documents.
  • Excellent organizational skills.
  • Exceptional attention to detail, analytical.
  • Excellent verbal and written communication skills.
  • Able to work independently and as part of a team.
  • Ability to liaise and maintain positive working relationship with lawyers, clients and external clients.
  • Strong computer skills, with knowledge of Microsoft Office.
  • Ability to multi-task and prioritize work and meet deadlines.
  • Ability to handle several time sensitive projects simultaneously.
